Refund Policy

๐Ÿ“Œ Plain English summary: We offer a full 7-day free trial โ€” no credit card required. Once you upgrade and are charged, that payment is final. You are paying for access to an active online service you have already evaluated and chosen to purchase. No refunds are issued after a charge is made.

Our Position on Refunds

LedgerDesk is a Software-as-a-Service (SaaS) product โ€” a continuously running, cloud-hosted accounting platform. Unlike a physical product that can be returned or a one-time download that can be uninstalled, our service is delivered the moment you subscribe. Servers run, data is stored, features are available, and infrastructure costs are incurred from the instant your subscription begins.

Our refund policy, stated plainly

All payments made to LedgerDesk are non-refundable. By completing a purchase, you acknowledge that you have had a full 7-day free trial to evaluate the product, and that the subscription fee is consideration for access to a live service that has already been rendered.

This policy is consistent with standard practice for online SaaS services and is fully compliant with India's Consumer Protection Act 2019 as it applies to digital services where the consumer has been given a meaningful free evaluation period before any charge is made.


Section 02

The 7-Day Free Trial

Before any money changes hands, every new LedgerDesk user gets a full 7-day free trial with complete access to all features of the plan they are evaluating. No credit card is required to start the trial.

The 7-day trial exists precisely so that you can make a fully informed, risk-free decision before spending money. A refund request after a payment has been made implies the trial period was not used for its intended purpose.


Section 03

How Billing Works

We believe in complete billing transparency. Here is exactly how charges happen:

  • No auto-charge at trial end. Your trial does not convert to a paid plan automatically. You must actively choose a plan and confirm payment.
  • Monthly plans are billed on the same date each month (your upgrade date). Example: upgraded on 15 April โ†’ billed on 15th of every subsequent month.
  • Annual plans are billed once per year upfront. The full annual amount is charged on your upgrade date and again on the same date next year.
  • Razorpay processes all payments. You will receive a payment confirmation and a GST invoice from us at your registered email within 24 hours of every charge.
  • Upgrade mid-cycle: If you upgrade from a lower to a higher plan mid-cycle, you pay the prorated difference for the remaining days in the current billing period.
  • Downgrade mid-cycle: Downgrades take effect at the end of the current billing period. You are not charged the difference โ€” the lower plan price applies from the next cycle.

Section 04

The No-Refund Rule

Once a payment is successfully processed, it is non-refundable under all normal circumstances. This applies to:

  • Monthly subscription payments, including partial months.
  • Annual subscription payments, regardless of how early in the year you cancel.
  • Plan upgrade charges.
  • Any add-on or additional feature charges.

โš ๏ธ Specific situations that do not qualify for a refund: "I forgot to cancel before the renewal date," "I didn't use the service this month," "I found a cheaper alternative," "My accountant didn't use it," or "I changed my mind." These do not constitute grounds for a refund because a free trial and advance billing notification were provided.

We send a renewal reminder email 7 days before every billing date. If you do not wish to continue, you have 7 days to cancel before the next charge. Cancellation stops future billing immediately โ€” it does not reverse a charge that has already been made.


Section 05

Narrow Exceptions

We are a fair company. There are a very small number of situations where we will consider a refund or credit at our sole discretion:

โœ… Exception claims must be raised within 15 days of the charge in question by emailing billing@LedgerDesk.in with your account email, transaction ID, and description of the issue. Claims raised after 15 days will not be considered.


Section 06

Cancellation

You can cancel your subscription at any time โ€” no questions asked, no cancellation fee. Here is what happens when you cancel:

  • Cancellation takes effect at the end of your current billing period. You retain full access to all paid features until that date.
  • After the period ends, your account automatically downgrades to the free tier (up to 500 vouchers/month, 1 company, 1 user).
  • Your data โ€” all ledgers, vouchers, transactions, reports โ€” is retained for 90 days after downgrade. You can export it at any time during this window.
  • After 90 days on the free tier with no reactivation, paid-tier data beyond free-tier limits may be archived. You will receive an email warning before this happens.
  • Cancellation does not delete your account. You can resubscribe at any time and your data will be restored.

To cancel: go to Settings โ†’ Billing โ†’ Cancel Subscription in your dashboard. You will receive a confirmation email immediately.


Section 07

Chargebacks & Disputes

If you initiate a chargeback or payment dispute with your bank or card issuer without first contacting us, we reserve the right to:

  • Immediately suspend your account pending resolution of the dispute.
  • Provide your bank with full documentation of the service rendered, trial period offered, billing notifications sent, and this refund policy (which you accepted at signup).
  • Permanently ban the account from future use of LedgerDesk if the chargeback is found to be fraudulent or in bad faith.

We strongly encourage you to contact us first before raising a dispute with your bank. Most billing issues can be resolved quickly by emailing billing@LedgerDesk.in. We respond to billing queries within 1 business day.
